Partnership teams are curious about the other partnerships that are attending the Institute. This session gives participants an opportunity to learn some basic information and ask questions about the other partnerships. Teams also have a chance to share their newly developed vision statements with other participants. Another purpose is to help build the cohesiveness among all the Institute participants and to allow for informal networking through participation in a small group activity with members of other teams.
In the preceding session, participants developed a new partnership vision. That vision will be shared with other teams in this session. This sharing of information will help identify alternatives and resources from other teams that may be useful for the rest of the Institute.
Facilitators will need to prepare the newsprint sheets listed above under "Equipment, Materials, and Supplies needed." Trainers should synchronize their watches to ensure smooth movement between team rooms.
A. Review the agenda for this session (HO-1). The presenters will have 10 minutes to make the presentation and 20 minutes for followup questions or discussion. (PN-1: Agenda for Team Sharing Activity and HO-1: Agenda for Team Sharing Activity)
B. Ask each partnership team to choose one or two members to give its presentation. It is important that at least one of the presenters have a good knowledge of the process of developing the grant proposal.
A. All preparation members of the team can share in developing the presentation. The suggested outline for the presentation is listed in HO-2. (This is the same worksheet that other participants will use to take notes of the presentations by other partnerships.)
Discussion Points (HO-2: Team Introduction Worksheet)
What is the name and location of the partnership?
When and how did the partnersihp get started?
What is the makeup of the membership of the partnership? How many members or member organizations are in it? Who are they? (A diagram of the partnership can help explain these items).
What is the greatest accomplishment of the partnership or something that the partnership is proud of?
What is one pitfall or barrier that the partnership has encountered? How has it been overcome?
What is the vision of the partnership?
What is something special about the partnership or the community that it is serving?
Is there other information that the members of the partnership would like to share with other teams?
What is one area in which the partnership team would like to have suggestions or help from the other teams at the Institute?
Directions
B. Ask the members of the partnership team who are not presenting to choose which of the other partnership presentations they would like to attend. At least one member from each other team should attend each presentation.
C. Explain that members of the team who are attending other presentations should take notes to share with their own team. Suggest that they use HO-2 to reord their notes and outline their reports.
D. Review the list of rooms assigned for this activity (PN-2: Team Breakout Room List).
E. Let the team presenters know that they should take the lead with the representatives arrive from the other teams. Ask them to start on time and use only 10 minutes for their presentation. Work out a signal with the presenters to let them know when they have 2 minutes left in their presentation and then again when it is time to move to the question-and-answer session.
A. Ask the presenters to tell how they felt giving the presentation or to voice any other thoughts they wish to share.
B. Ask those who attended other partnership presentations to take about 4 minutes to report to the team what they learned. Use HO-2 as a guide if necessary (HO-2: Team Introduction Worksheet).
A. Ask the team if anything in the presentations may be useful for its planning process.
B. Let the teams know that they will have a 30-minute break, after which they should reconvene in the general session room for a presentation on developing a community planning system.
